The Boards and Committees Records, 1987-2009 contains records pertaining to the various boards, committees, and organizations that have served the Indianapolis Museum of Art at Newfields. The earlier records, prior to the name change in 1969, refer to the John Herron Art Institute. However, a large portion of the records in this collection were created after 1975. A majority of the records within this collection are agendas, minutes, and notes from various meetings. Other records include correspondence, reports, rosters, and plans. Most of the meeting records are arranged in chronological order. Early records created by the Art Association, beginning in 1897, may be of particular interest.

Wilbur David Peat Papers

The Wilbur David Peat Papers, 1924-1972, undated, contains records regarding the Indianapolis Museum of Art at Newfields while under the directorship of Wilbur Peat after he took over as director from acting director Anna Hasselman. The collection contains records primarily sourced from the director’s office. It documents the administrative actions of the institution from the director level. Note that administration reorganization has taken place since these records were created. Many of the earlier papers in this collection were not originally housed in the director’s office due to the administrative setup of the institution at the time.
It is important to note that this collection extends past both Wilbur Peats's life and his final year as director in 1966. Isabel Martin, executive assistant to the director, started in 1967 and continued/finished many of the projects started under director Peat. Martin also compiled and added context to these files prior to their addition to the archives.
The series are organized by subject, but the individual files are in original order with no further arrangement. Due to Peat’s involvement with education and community, researchers will find information regarding correspondence and education of value.

William Henry Fox Papers

The William Henry Fox Papers, 1884-1940, undated, contains records regarding the John Herron Art Institute while under the directorship of Fox after he took over from the unofficial first director of the museum, Anna Turrell. The collection contains records such as correspondence, financial reports, and acquisition data primarily sourced from the director’s office. It documents the early administrative actions of the institution. Note that administration reorganization has taken place since these records were created. Some current directorial responsibilities were being handled by various boards and can be found within the Boards and Committees Records collection (ADV 003). The collection is organized by subject, but the individual files are in original order with no further arrangement. The bulk of dates fall between 1902 and 1912. Researchers will find information regarding early correspondence and history of value.

The Marie Webster Study Collection contains both professional and personal materials that document Webster's career as a quilt designer. A majority of the items in the collection date between 1911 and the 1920s, with a few earlier items like photographs and a scrapbook that documents her later life. Many of the quilt patterns and templates in the collection connect to finished pieces found in the museum's permanent collection.

This collection consists of 18 scrapbooks, originally assembled by Booth Tarkington and his secretary, Elizabeth Trotter. While there are no precise dates for the creation of these works, included clippings indicate that they were largely assembled during the 1930s and 1940s, during the final years of Tarkington’s life; he spent much of this time at Seawood in Kennebunkport, Maine, but clippings and exhibition programs provide evidence of travel between Indianapolis and Seawood. In content, the materials center around the paintings Tarkington owned, including a great deal of quoted research material and biographical information about the artists and portrait subjects. Typically, each original binder contained materials related to one or more paintings, and several binders included title sheets/tags indicating that they referenced works from a particular room in Seawood (e.g., dining room). Materials include photographs of the works, often in situ on exhibit or in Tarkington’s home; newspaper and magazine clippings about artists or exhibitions; exhibition brochures and catalogs; gallery materials related to purchase and display of the works; correspondence related to acquisition, research, loans, and discussion of Tarkington’s portraits; book jackets and manuscripts or texts written by Tarkington about art; book reviews and critical reception; and many retyped, excerpted or quoted texts relating to the paintings derived from other authors, experts in the field, or historical/primary sources. Correspondence and reviews indicate interaction with prominent historical figures, including: the art historian Erwin Panofsky; art critic Royal Cortissoz; art gallery representatives Daniel H. Farr, Robert C. Vose, Bert Newhouse, Sophia Ruskin, and John Levy; and art museum curators and directors, including Wilbur D. Peat of the John Herron Art Institute (now Indianapolis Museum of Art at Newfields).

This is a collection of art-related posters that have no connection to the Indianapolis Museum of Art (IMA). Most were sent to the IMA as promotional materials for artists, exhibitions, and/or galleries. Items were housed in Print Storage or in the Stout Reference Library's artist files until transfer to Archives in 2016. Posters from US and international art museums were also included in the transfer, but those were note retained for inclusion in this collection. The Library continues to add to this collection.

The El Tendedero Indiana collection consists of one post-card sized box of community-generated response ballots to survey questions generated by Mayer. The ballots are separated into five subseries corresponding to five questions and further arranged by language (English and Spanish). The collection also includes one folder with printed ephemera and posters generated in advance of El Tendedero events around Indianapolis and an issue of the Indianapolis Recorder featuring a story about Women4Change legislative efforts. The El Tendedero Indiana collection was received with three oversize posters, a promotional t-shirt, and two red cardboard boxes which were used in the collection of community-generated response ballots; these have been (will be) photographed and deaccessioned. The collection also contains 1.8 GB digital material including digital ephemera, promotional material, and events photographs contributed by Women4Change and undated photographic documentation of past El Tendedero installations contributed by Mayer.

This collection is comprised of architectural drawings of the buildings and grounds of the John Herron Art Museum (Vonnegut & Bohn, 1906) and the John Herron Art School (Paul Philippe Cret, 1929), including additions and upgrades made to those buildings and grounds through the 1960s. Drawings include elevations, sections, lighting, electrical, landscape, and floor plans in the form of blueprints and architectural drawings on drafting paper. Primary creators of these drawings are the architects Bernard Vonnegut, Arthur Bohn, Paul Philippe Cret, Foltz, Osler & Thompson, and Lawrence V. Sheridan.

Lilly House Records

The Lilly House Records, 1967-2005, contains records regarding the Lilly House, primarily since its donation to the Indianapolis Museum of Art in 1967. A large portion of the collection consists of the file folders of paper documents. While there is a Photos and Media series, photos are also located in other series where they are relevant. The collection is comprised of records produced and collected by staff. It documents the history of the Lilly House. Many of the files were originally in binders and were kept in their original order. Researchers will find information regarding the families who lived there, the architects, building/restoration documents of value. More information regarding the Lilly House, the families that have lived there, and the architects who constructed it, can be found in the Bradley Brooks Collection (HIS 002).

The J. Irwin Miller And Xenia S. Miller Travel Papers document the travel, both business and personal, that the Millers did from 1960 to 1990. The materials include trip itineraries, travel journals, correspondence, purchase receipts, travel brochures, travel guidebooks, ticket stubs, menus, and other ephemera and records of their travels.
